Exclusive Features of WinAuto 2003

WinAuto comes with many exclusive features that are not found in other rental software, which automate the front-counter and back-office operations. Each feature was designed based on many years of actual car and truck rental experience to improve your operations and to increase your productivity. They will also help you overcome users’ frustrations, eliminate DBR accounting, minimize employee mistakes, recover vehicle damage costs, and much more functions.

Open/Close Agreement

All-in-one Open/Close Agreement screen – Opening or closing an agreement is the most frequently used screen in the system and it is the heart of the whole management system. With the current version of WinAuto, it is now possible to open and close an entire agreement on one screen. It has never been faster or simpler. Almost everything can be handled on a single screen (two screens for split billing agreements) for generating a regular rental/loaner agreement. This comprehensive screen captures pickup/return office, dates, times, renter information, and multiple additional driver information. Also, select a rate or create a rate on the spot, select a car from the ready line, choose the appropriate coverage, and/or enter extra charge items, supplies or deposits (if required). Automatic saves ensure critical information is saved, avoiding any chance of losing data from a sudden power failure, computer lockups, or from user mistakes.

Adjustment After Closed Agreement

Closed Agreement Adjustment Wizard – Charges on closed agreement may require adjustments due to overcharges based on customer complaints or undercharges discovered from internal audits, or to add a new charge for a parking ticket received after the agreement has been closed. There is no need to re-open the agreement. Fully integrated into the Open/Close Agreement module, the Agreement Adjustment Wizard automatically calculates the appropriate credits/debits and posts them to the accounting files separately, including all related taxes, general ledger entries without affecting the previous balances. All a user needs to do – is to enter the “should be” value of a charge item. The user will not be required to calculate the adjustment - how much to add or subtract. WinAuto Adjustment Wizard will automatically handle the necessary adjustments as well as calculate the appropriate corresponding taxes, and posts only the “new differences,” without affecting the previously Closed contract. Calculators are absolutely not required! Any adjustments and new differences will appear on the selected DBR date. A printed adjustment agreement can also be produced for customer billing or for filing purposes. No other rental software handles adjustment on closed agreements as simply or as accurately as WinAuto.

Split Billing

Split Billing on Multiple Parties Rentals – Allows multiple parties to split billing charges quickly and reliably. WinAuto automatically calculates all charges and corresponding taxes separately per billing party. Compared to other car rental software, WinAuto does not require the user to use a calculator to manually calculate each party’s portion of charges and taxes in order to split the total. Everything is done automatically. It is clean, easy and accurate, eliminating any potential human mistakes. Moreover, with the help of the WinAuto’s Automatic Rate Generator for Insurance Replacement Rentals, the agreement’s rental costs are automatically split between the Insurance company and the customer based upon the maximum allowed from the Insurance company. With this feature, you can maximize the daily dollar amount and profits.

Vehicle Forecast

Fleet Real Time Availability and Forecasting – View the number of units available, on-rent, or reserved at “all” times as well as reservations in and rental returns. Provides a clear, complete picture of your available daily inventory for cars and by time blocks (morning, afternoon, and overnight rental time block) for moving trucks. This is an essential feature for small to medium fleet size operators to fully maximize the utilization of their rental fleet. Never run into a situation where customers are lined up in front of counter waiting for return vehicles caused by over bookings or mismanagement.

Vehicle Damage

Fleet Damage Tracking – Vehicle damage management system tracks all damage for each vehicle in your fleet. Once new damage has been detected on a vehicle, just enter it into the software. WinAuto, issues an unique Damage ID and records the damage type, damage location, damage level, description, dates and time, who/when/where created, and related rental/loaner agreement will be captured in the system. Since the damage information is clearly displayed on the vehicle diagram on each subsequent agreement, the customer is well aware of the loaner/rental vehicle’s condition before driving off the lot. Recover your damage costs and reduce customer complaints. On top of that, reduce the workload of the staff member who updates the body check sheets on every rental, and/or does the vehicle walk-around with the customer when they check out a vehicle. More importantly, an accurate database of your vehicle damage will eliminate all the unnecessary misunderstandings and maintain a good relationship with your customers. Loaner Vehicle Management

Loaner Courtesy Management – WinAuto is the only Car Rental Software with Loaner Vehicle Management features, specifically for handling loaner cars. WinAuto’s Booking Planner and Vehicle Control Management allows your Service Advisors to book and control their assigned loaner vehicle inventory. Quickly open a Loaner Vehicle Agreement in one single screen. Keep track of Repair Order/Work Order numbers. Many fuel charge options are offered. Generate a professional looking Loaner Agreement with loaner vehicle condition diagram on the contract. Produce automaker’s reimbursement reports. Additionally, if you need to provide valet/shuttle services to your customers, WinAuto offers a shuttle service scheduler.

Security

Security – WinAuto provides high security control on the system without sacrificing flexibility and ease-of-use. Every payment is automatically stamped with Who/When/Where – who created it, when it was created, and where it was created, so that it can be traced and is unalterable once entered. WinAuto provides tools for the user to balance out payments if there is a need for reconciliation. No one can bypass the security without having the proper access. Also, WinAuto provides security control; for logging into the system, accessing sensitive information, who/when/where creating or modification reservation or agreement, giving a rate quotation, running reports, creating DBR posting batches, etc.

DBR Daily Business Accounting

DBR Daily Business Reporting Rental Accounting – WinAuto comes with a comprehensive DBR rental accounting system. From order entry to taxation reporting. WinAuto provides the flexibility to control DBR back dating due to power failure or revenue regrouping. All transactions can be posted by shift, daily, weekly, monthly, or for any time period specified by the user. WinAuto provides reports on cash drawer balance, cash journal, sales journal, direct billing account journals, as well as automatically generating a balanced trial balance. If for some reason, the trial balance is not balanced, WinAuto will provide breakdown trial balance analysis listing for the user for tracing and collection. Once the error is fixed, the user can delete the problem batch and re-create the DBR posting batch. Any adjustment on charges, payments, refund, credit, debit, is also reflected on the selected DBR date on all DBR reports (including taxation reports). It is fully automatic. Database Management

Database Management – WinAuto comes with a complete do-it-yourself database management tools and utilities assisting the end user to maintain their own databases. Rebuilding a corrupted database is very simple and quick. Also, WinAuto allows the user to purge old agreements/reservations when running out of hard drive space, or for improving performance. All purge data can be archived and saved onto CD-R/CD-RW. Not only that, WinAuto allows the user to restore those purged data back into the active database. Exclusively on WinAuto, a purged agreement can be restored and printed out again. The user does not require to spend a lot of time and paper running a lot of reports before purging data as some traditional system require. No need to find space for storing all the hardcopies agreements/reports. You can save several years of data onto a single CD-R. These powerful backup tools allow the end user to fully control their own data without requiring to pay another third party to do the job.
